This privacy notice has been prepared by CollMind Teknoloji A.Ş. (“CollMind” or the “Company”) pursuant to the Law No. 6698 on the Protection of Personal Data (“KVKK”) in order to inform you about the personal data processed through the collmind.com website and the contact/demo form on the website.

2. Personal data processed

• Identity and contact information: full name, email address, phone number.
• Professional information: the company you work for, the solution you are interested in.
• Request content: the message you write in the form.
• Transaction security information: the page from which the form was submitted, the date and time of submission; technical logs of the hosting service provider (e.g. IP address, browser information).

3. Purposes of processing personal data

• Receiving, evaluating and responding to your demo and information requests,
• Contacting you and conducting discussions regarding the products or services you have requested,
• Carrying out pre-offer and pre-contractual processes,
• Ensuring the security of the website and the form, and preventing misuse,
• Fulfilling legal obligations and responding to requests from authorised institutions.

4. Legal grounds and method of collection

Your personal data is collected electronically and by automated means through the form on our website. Your data is processed on the basis of the following legal grounds set out in Article 5(2) of KVKK:

• (c) processing of personal data belonging to the parties to a contract is necessary, provided that it is directly related to the establishment or performance of that contract,
• (ç) processing is mandatory for the data controller to fulfil its legal obligation,
• (f) processing is mandatory for the legitimate interests of the data controller, provided that it does not harm the fundamental rights and freedoms of the data subject.

Where these legal grounds do not exist (e.g. to the extent required for transfers abroad), your explicit consent is sought.

5. Transfer of personal data

Your personal data may be transferred, limited to the purposes above, to the information technology and hosting providers we use (Google Firebase services for the website and form data), to our business partners (only to the extent necessary to respond to your request) and to legally authorised public institutions and organisations.

6. Retention period

Your personal data is retained for as long as required by the purpose of processing and for the limitation periods stipulated in the relevant legislation; at the end of that period it is deleted, destroyed or anonymised. [Legal review: a specific retention period must be added.]

7. Your rights under Article 11 of KVKK

By applying to the data controller, you have the right to:

• learn whether your personal data is being processed,
• request information about it if it has been processed,
• learn the purpose of processing and whether it is used in accordance with that purpose,
• know the third parties in Türkiye or abroad to whom it has been transferred,
• request its correction if it has been processed incompletely or inaccurately,
• request its deletion or destruction within the framework of the conditions in Article 7 of KVKK,
• request that the correction, deletion and destruction operations be notified to the third parties to whom the data has been transferred,
• object to a result arising against you from the analysis of the processed data exclusively by automated systems,
• request compensation for damages if you suffer damage due to unlawful processing.

You may submit your requests regarding your rights, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller and together with information identifying you, by email to info@collmind.com or in writing to Çiftehavuzlar Mah. Your applications are concluded free of charge within thirty days at the latest; if the process requires an additional cost, the tariff determined by the Personal Data Protection Board may be applied.
